Buffs Engagement and Outreach! The Senior Program Manager is
responsible for planning and implementing impactful alumni and
donor engagement and stewardship efforts for the Alumni
Association. This role is critical to the engagement efforts for
the Office of Advancement at CU Boulder and is responsible for
alumni and donor relations, alumni engagement, events, marketing
communications activities, budget management and interacting with
the Forever Buffs Advisory Board.
Under the guidance of the Director, Forever Buffs Engagement & Outreach, this position is tasked with strategic and impactful programmatic planning and execution that achieves the unit’s goals in engaging alumni and other constituents, promoting the reputation of the Alumni Association, stewarding alumni and donors, and increasing impactful engagement for CU Boulder. This position will help to lead key engagement activities associated with our athletic pre-game events, regional, local and virtual engagement activities, communications and stewardship activities for attendees, as well as being responsible for budgets. Specific duties may change over time and each year in the performance planning cycle areas of responsibility will be delineated. What Your Key Responsibilities Will Be Programmatic Oversight/Task Execution/Tactical Work
- Under the guidance of the Director, lead planning and execution of signature alumni engagement programs and events; work towards exercising autonomy in these areas. These signature events will include but are not limited to athletic pre-game activities, Homecoming events, ForeverGold or Advisory Board activities and Commencement activities.
- Under the guidance of the Director, forecast, manage and supervise all budget expenditures for programs under position’s purview; work towards autonomy in this area. Works in coordination with accounting department to ensure all payments are received and accurately processed.
- In partnership with the Director and team members, review the effectiveness of programs and make suggestions for modifications and improvements.
- Review event & engagement marketing and communications materials including but not limited to invitation/list generation, audience segmentation, special handling, registration, event communications, and post-engagement surveys.
- Complete project briefs promptly for all projects under position’s purview.
- Manage back-end functions of multiple databases as a subject matter expert and provide training and support for databases as needed.
- Regularly track and report engagement metrics as required meeting associated quarterly deadlines.
- Lead and manage ticket allocations for both football and basketball and work collaboratively with team member for support.
- Implement inventory and asset management for event marketing materials including trucks, trailer, golf cart, E&O shed, giveaway inventory and fleet of large event marketing props. Supervise a comprehensive inventory management plan to ensure giveaway items are stocked and explore new items to add.
- Manage alumni engagement follow-up and stewardship processes which may include writing follow-up communications and surveys, inputting and ensuring accuracy of contact reports, and ensuring alumni are classified in correct categories for further communication activities.
- Manage student support staff and volunteers who will assist with event operations, set up and execution.
- Serve as a collaborative partner to campus entities such as athletics and others as needed and provide consistent flow of information regarding the team’s alumni engagement efforts.
- Strategically engage development officers to enhance participation in donor relations and alumni engagement events and programs.
- Conduct regular online research and benchmarking to ensure events and programs are effective in achieving established goals.
- Partner with campus partners to engage, steward and manage important alumni, donors, volunteers and allies to the Alumni Association.
- Meet annual contact metrics.
- Represents Alumni Association at alumni engagement roundtable meetings, Board meetings and other campus and division meetings. Coming prepared to contribute and share your voice and insights with colleagues.
- Responsible for special projects as requested by management.
- Supports all Alumni Association staff members, demonstrates leadership by example and cultivates positive morale with all staff members.
- Completes other duties as needed.
- This position requires local, regional, and out-of-state travel to engage with university constituents, and will occasionally be required to work evenings/weekends.
- This position has the ability to work a hybrid schedule with some days on campus and some days remote.
- Bachelor’s degree or equivalent experience or combination of education and experience may substitute.
- 2+ years of professional, job-related experience.
- Must have a valid U.S. Driver’s License and be willing to test for a Commercial Motor Vehicle (CMV) certificate.
