TITLE: Development Operations Manager
STATUS: Full-time Exempt
DIVISION: Development
DEPARTMENT: Development
REPORTS TO: Director of Development
POSTITION AVAILABLE: Immediately
ONSITE REQUIREMENTS: Regularly on-site at least three-days a week
IRREGULAR SCHEDULE DESCRIPTION: occasional weekend and evening work
THE POSITION
The Development Operations Manager is a full-time position reporting to the Director of Development. This position plays the lead role in all gift processing and analysis for Studio Theatre’s fundraising efforts, as well as managing the Development Department’s budget. The Development Operations Manager is responsible for optimizing the use of Tessitura, Studio’s fundraising database, including maintain all of Studio’s donor records, oversee all database management efforts, supervise gift processing, generate financial reports, and provide support at special events.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Database Management
- Oversee the data integrity of Tessitura, our institutional CRM used for all donor activity tracking
- Pull list extractions for all types of donor communication
- Create weekly reports that track contributions across multiple campaigns
- Utilize the database and create reports to support donor stewardship, cultivation and moves management
Gift Processing
- Manage donor pledges and gifts, including coding transactions and regularly sending acknowledgment letters
- Assist the Donor Relations Coordinator with all appeals and direct mail campaigns
- Maintain our digital filing system via SharePoint
- Analyze donor giving patterns to increase donor attraction Acquisition and retention
Budget Support
- Work with the Director of Development on the creation of the annual budget including income goals across campaigns as well as an annual expense budget
- Create financial reports to accurately analyze, document, and disseminate results of all fundraising campaigns and activities for executive leadership and development staff
- Work closely with the finance department to reconcile monthly income reports, report on outstanding pledges, code the expense ledger, and assist with the annual audit preparation
Department Support
- Work closely with the Associate Director and Donor Relations Coordinator to keep the Development Communications Calendar up to date
- Conduct research on donor prospects and other acquisition strategies to expand donor base
- Collaborate with the marketing team on website updates, programs, and email and print communication
- Provide significant event support including but not limited to attending events, some on weekends and evenings, checking in guests, helping with production and staffing needs, and facilitating the role of host for the department
- Assist with individual donor stewardship as the primary customer service provider for the department. Participate in Studio Theatre’s on-going anti-racism work
- Other duties as assigned
PHYSICAL DEMANDS AND WORK ENVIRONMENT

- Significant screen time (5-8 hours daily)
- Moderate physical needs – able to lift and carry upwards of 20 lb
Features of the work environment will include:
- Dedicated desk space in an open office environment with crosstalk and background noises; multiple collaborative workspaces are available but with minimal privacy. Workspace may include public spaces with loud sounds and bright lights. Position requires interactions with guests and donors which may be stressful and require a calm demeanor.
SKILLS AND QUALIFICATIONS
Studio Theatre is seeking an individual with considerable talent, passion for the theatre, and ability to advance institutional aims. We expect a candidate will have:
- Experience with donor management and email management systems required Experience with budget management preferred Proficiency in Microsoft Office Suite for administrative support including advanced use of Excel Strong organizational skills, with the ability to multitask, prioritize and meet deadlines Strong attention to detail and accuracy with data input and tracking Strong verbal and written communication skills to communicate and comfort communicating with high level stakeholders Ability to handle sensitive and confidential information with discretion. Enthusiasm and passion for arts fundraising encouraged Commitment to Diversity, Equity, and Inclusion, and enthusiasm to work with teams with diverse identities.
COMPENSATION:
This position is a full-time salaried exempt position with an annualized salary between $48,000 and $52,000.
Studio Theatre offers a generous benefit package including medical with a partial employer contribution and a funded HRA, dental, and vision insurance and FSA; long-term disability insurance; life insurance; 401K with an employer match; and commuter benefits. Studio Theatre time off policies include ten paid holidays, five floating holidays, separate sick leave, and annual vacation leave accrual starting at ten days for new hires.
Studio Theatre’s administrative hours are Monday thru Friday 10am to 6pm. Studio Theatre’s remote work policy allows certain positions to work remotely up to two days a week plus exceptions on a case-by-case basis. Due to the nature of live entertainment, all positions may require some evening and weekend work.
