Responsibilities

The Assistant Director, University Advancement Events, Signature Events plans, executes and manages signature events that inspire and enhance the mission of the University. Each of these events will focus on engaging, prospecting, cultivating, recognizing, and stewarding the University’s donors, prospective donors, alumni, friends and parents.

Event Planning

Responsible for the conceptualization, strategic planning and execution of signature events including homecoming, awards and recognition events, alumni network/affinity group events, Trustee and Director meetings, or other events as assigned. Develop detailed event plans that outline logistics, programming, staffing and contingency plans. Responsible for attending and staffing events outside of regular business hours, including evenings and weekends, with the potential of some travel. In consultation with the Director of UA events, oversees all logistical aspects of signature events, including venue selection, catering, AV needs, transportation, marketing strategies and accommodations. Leverage our counterparts at other universities to create a well-rounded approach in venue and vendor selection. Collaborates with Director of UA Events to develop an annual engagement calendar that aligns with the Division’s goals and objectives. Responsible for using data to inform strategy and decisions regarding key constituency markets. Analyzes data and feedback to identify trends, successes, areas of improvement, making recommendations for future events. Supervises staff, providing ongoing mentorship and guidance, encouraging professional growth and skill development.

Administrative

Maintain consistent documentation and records for each event (i.e. proposals, quotes, contracts, invoices, checklists, RSVP reports). Tracks and maintains accurate RSVP lists and builds out seating plans in consultation with leadership. Develops menu cards, seating cards and other table/guest identifiers per event as necessary. Develops ROI reports following each event and informs leadership of signature event successes and opportunities.

Budgeting

Assists in annual budget process to develop a strong budget for University Advancement Events, ensuring that all expenditures are tracked and managed within approved limits. Monitor and report on financial performance, providing recommendations for cost-saving measures and budget adjustments as necessary. Prepares financial summaries and post-event reports for review by senior leadership.

Manage events using the divisions preferred events module and run various reports before, during and after events. Stays informed of industry trends and best practices regarding onsite and electronic registration. Follows department protocol regarding generation of name badges and other key identifiers. Other duties as assigned.  

Qualifications

Bachelor’s degree and four years of experience; or a high school diploma/equivalent and experience equal to eight years. (Note: post-high school education can substitute for experience at the equivalent rate.)

Ability to work evenings and weekends.

Valid FL or GA Driver's License or the ability to obtain.
