POSITION OBJECTIVE:
Reporting to the Director of Major and Planned Gifts, this Assistant Major Gift Officer carries primary responsibility for managing the Patron Circle community of Phillips supporters, the entry point for Circles membership and a key part of the pipeline of major gifts donors to position The Phillips Collection for long-term sustainability as it begins its second century.
The Phillips Collection advancement office is in an exciting time of growth, following a highly successful Centennial Campaign, the arrival of a new Director in March 2023, and adoption of a new Strategic Plan in June 2024. Over the course of the last year, the Major and Planned Giving program, including Circles, has been redesigned to engage supporters in new ways, meet ambitious growth goals, and support new strategic priorities.
The Assistant Major Gifts Officer identifies, cultivates, solicits, and stewards donors for the Major and Planned Giving team of the Advancement Department and provides crucial administrative support to this team. The Major and Planned Giving team consists of three full-time staff members (including this position), and one part-time staff member. Additionally, the Assistant Major Gifts Officer will work with the advancement team to cultivate a more diverse pipeline of prospective donors in a continual effort to incorporate the museum’s commitment to diversity, equity, accessibility, and inclusion (DEAI) in all of its activities.
ESSENTIAL FUNCTIONS:
Patron Circle Management
- Manages, develops, and raises revenue for the Patron Circle level of the Circles program (approximately 100-150 households making annual gifts between $2,500-$4,999) in support of a baseline, personal annual operating budget goal of $200,000.
- Collaborates with the Director of Membership to develop a pipeline of donors to upgrade to Patron Circle members.
- Works with Director of Major and Planned Giving to set annual goals, budgets, and monthly forecasts for the Circles program and assists in planning the annual schedule of major giving activities and events.
- Works with the Prospect Management and Research Associate on portfolio management for the Major and Planned Giving team, including maintaining constituent records for their portfolio of donors by logging interactions, communications, and other activity reports in Altru in coordination with department data-entry protocols.
Major and Planned Giving Fundraising and Support
- Manages and supports the the monthly renewal process for all Circles levels.
- Coordinates with the Special Events team on logistical preparation for stewardship and cultivation events including major donor tours, exhibition openings, special prospect tours, the gala, and annual Circle events. Coordinates with the Major and Planned Giving team to strategize and implement follow-up activity.
- Develops and manages communications to major donors, including event invitations and e-news in collaboration with MarComm and Special Event colleagues.
- Collaborates with the Major Gift Officer and Special Events team to support activities connected to the Phillips Travel program.
- Represents The Phillips Collection at cultivation and stewardship events organized for Major and Planned Giving donors and prospects.
- Raises awareness of the Phillips’s mission and broadens the funding base by developing strategies to identify major donors and leverage the networks of Board members, volunteers, and existing donors.
- Collaborate with the Phillips Music staff, Admissions Manager, and the Major Gift Officer in ongoing cultivation and stewardship of Phillips Music subscriber-donors.
- Performs other administrative duties as assigned, including producing correspondence and coordinating logistical arrangements for Major and Planned Giving team donor interactions.
Basic Requirements
- Bachelor’s degree required.
- 2 years of advancement or related experience required.
- Ability to represent The Phillips Collection with a high degree of professionalism.
- Excellent interpersonal, verbal, and written communications skills.
- Ability to handle challenging situations diplomatically and maintain collaborative working relationships.
- Ability to maintain confidentiality, act with discretion, and maintain a high level of performance under pressure.
- Collaborative, positive team player with high degree of personal initiative and accountability. Knowledge of and passion for the arts, and especially the visual arts, strongly preferred.
- Strong organizational skills and attention to detail.
- Experience with Blackbaud’s Altru, Raiser's Edge, or a similar relationship management system.
- Strong proficiency in Microsoft Office suite.
- Ability to work some nights and weekends as needed.
