The Senior Associate is an essential member of the Donor Engagement & Special Events team at WCS, providing critical support to execute in-person and virtual experiences that showcase WCS’s important mission for donors and prospective donors and help achieve the overall revenue goals for Global Resources. Reporting to the Associate Director and supporting the New York (NY) based Donor Engagement & Special Events team, you will coordinate the planning and execution of strategic, high-end donor focused cultivation and stewardship events and experiences and support the production and execution of our fundraising benefits.

Principal Responsibilities (Coordinate the planning and execution of in-person and virtual donor-focused cultivation and stewardship events and provide critical support for the production and execution of our fundraising benefits with responsibilities including): 
 

  • Collaborate with the Global Resources team to develop and execute experiences.

  • Coordinate day of logistics for on-site and virtual events, including coordinating staff volunteers, staff assignments, timelines, and run-of-shows.

  • Manage vendor relationships, including event coordination, processing contracts and payments.

  • Oversee speaker coordination, program content, and development.

  • Manage expense reporting and budget reconciliation.

  • Manage the development and review of event mailing lists.

  • Track event responses and analytics and distribute them to the department.

  • Coordinate the production and assist with the design of print and electronic materials, including invitations, programs, signage, event webpage, social media and other materials.

  • Liaise across the organization and other departments to execute successful events.
    Perform other administrative duties as needed.
